Privacy notice

This notice explains how RecQ handles the personal data of job seekers and consultants, of contact persons at our clients and partners, and of visitors to recq.fi.

2. Whose data we process and why
Job seekers and consultants
Purpose: assessing your suitability, finding you assignments and positions, presenting you to clients, and keeping in touch about future opportunities.
Legal basis: your consent when you send us your CV or join our network; steps taken at your request before a contract; our legitimate interest in maintaining a network of clinical research professionals.
Consultants on assignment
Purpose: contracts, invoicing or payroll, and follow-up of the assignment.
Legal basis: contract; legal obligations such as accounting.
Contact persons at clients and partners
Purpose: offers, delivery of our services, invoicing, managing the relationship and business communication.
Legal basis: contract; our legitimate interest in running and developing our business.
Website visitors and people who send a form
Purpose: answering your message, and keeping the website working and secure.
Legal basis: legitimate interest; consent for any cookies that are not strictly necessary.
3. What data we process
- Job seekers and consultants: name, contact details, CV and what it contains (education, work history, skills, languages, certificates), LinkedIn profile if you provide it, notes from our discussions, availability, fee or salary expectations, referees you have named, and your assignment history with us.
- Contact persons at clients and partners: name, job title, employer, contact details, correspondence, and contract and invoicing details.
- Website visitors: what you enter in a form, and technical log data such as IP address, time and browser.
Please do not include a personal identity code, health information or other sensitive details in your CV. We do not need them.
4. Where the data comes from
Mainly from you: the forms on this website, email, phone and meetings. We may also use public professional sources such as LinkedIn to contact a professional about a suitable role. We contact referees only with your consent.
5. Who receives the data
Clients. We present your profile to a client only for a specific assignment or position, and only after you have agreed. The first presentation is made without your name and contact details, unless explicitly agreed otherwise.
Service providers. We use carefully selected providers that process data on our behalf under a written agreement: website hosting (Hostingpalvelu.fi, Finland), email and file storage (Microsoft 365), our consultant directory (monday.com), and accounting and payroll services.
Authorities, where the law requires it.
We do not sell personal data, and we do not use it for automated decision-making or profiling.
6. Transfers outside the EU or EEA
We store data primarily within the EU or EEA. Some of our service providers may also process data outside it. In that case the transfer is based on an adequacy decision of the European Commission (for example the EU–US Data Privacy Framework) or on the Commission’s standard contractual clauses.
7. How long we keep the data
- Job seekers and consultants in our network: 24 months from our last contact. Before the period ends we may ask whether you want to stay in the network; if you do, the period starts again. You can ask us to delete your data at any time.
- Messages sent through the website forms: 12 months, unless the message leads to a client or consultant relationship.
- Contact persons at clients and partners: for as long as we work together and 24 months after our last contact.
- Contracts and accounting records: as long as the law requires. Under the Finnish Accounting Act, vouchers are kept for at least 6 years and accounting books for 10 years.
8. How we protect the data
Only the RecQ staff who need the data for their work have access to it. Our systems require personal user accounts, and the website forms and our email use encrypted connections.
9. Cookies
recq.fi uses a necessary cookie that remembers your language choice. Analytics cookies (Google Analytics) are used only if you give your consent in the cookie banner. You can change your choice at any time through the Cookie settings link at the bottom of the page.
10. Your rights
You have the right to
- know what data we hold about you and receive a copy of it
- have incorrect data corrected
- have your data deleted, or its processing restricted
- object to processing that is based on our legitimate interest
- receive the data you have given us in a transferable format
- withdraw your consent at any time. Withdrawal does not affect processing carried out before it.
Send your request to rekku@recq.fi. We reply within one month. If you believe we process your data unlawfully, you can lodge a complaint with the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).
11. Changes
We update this notice when our operations or the law change. The current version is always on this page.
